Trengo offers the integration of email channels using IMAP. This allows you to connect any email provider and not rely solely on Google or Microsoft. IMAP (the Internet Message Access Protocol) is one of the foundational email protocols and is still commonly used by both small private email providers and large ones such as AOL, Yahoo, and iCloud.
Connect email via IMAP
To connect an email via IMAP, start by creating a new email channel in Trengo’s settings.
1. After you select “Connect email,” you will be taken to the start screen for selecting an email provider. To set up an IMAP connection, select “View all providers.”
2. Choose IMAP.
3. Then, you can either select a standard IMAP or check the list of pre-created connections that already exist in Trengo’s IMAP integration.
4. To establish an IMAP connection, you need to enter your admin credentials—email and password. These credentials will be used to establish the connection. It's important to note that some email providers require you to enable “Third-party app connection.” This means that in your email settings, you need to create an “App Password.” This specific password allows solutions like Trengo to connect to your email via IMAP. Please refer to your email provider's documentation for further details.
NB: If you are using Microsoft 365, and your account has either two-factor authentication (2FA) or multi-factor authentication (MFA) activated, then please use your app password instead of the regular account password. This is required by Microsoft for enhanced account security.
5. After adding the credentials, please check the IMAP host details. These are standard. If you don’t need to specify other port numbers, leave these fields unchanged.
6. Click “Next” to continue with the channel creation and finish the configuration.
Important to know about IMAP connection:
IMAP connection limits for sending and receiving emails are usually configured by your email provider and cannot be controlled by Trengo. Please refer to your technical team for support.
Here is an example of IMAP limitations from iCloud:
- You can send 1,000 email messages per day.
- You can send email messages to 1,000 recipients per day.
- You can include up to 500 recipients per email message.
- You can send email messages up to 20MB in size.
When creating a new channel, IMAP connections in Trengo can only retrieve messages from the last 90 days. This means that when you use the “Upload last 50 messages” function when creating a new channel, if those messages are older than 90 days, they cannot be uploaded to Trengo.
IMAP providers have different limitations on the throughput of email traffic. This means that the freshness, completeness, and availability of email data depend on these limitations.
IMAP connections treat each folder or label in the email inbox differently. There might be slight differences in the freshness and speed of updates for emails from different folders, depending on the provider.
IMAP connections must support email messages encoded using UTF-8 or ASCII. Other encodings are not supported.
