It is possible to connect a shared Microsoft Outlook mailbox to Trengo.
Normally, shared mailboxes in Microsoft 365 do not require their own license. However, if you want to connect a shared mailbox to Trengo, the mailbox must have:
- a valid Microsoft 365 license assigned
- a password set for the mailbox account
This is required because Trengo connects email inboxes through our mail provider, which requires valid user credentials for the mailbox.
Before you start
Make sure the shared mailbox:
- exists in Microsoft 365
- has sign-in enabled
- has a Microsoft 365 license assigned
- has a password set
- can be used to log in as a normal Microsoft account
Step 1: Assign a license to the shared mailbox in Microsoft 365
- Open the Microsoft 365 admin center.
- Go to Users > Active users.
- Open the shared mailbox user.
- Go to Licenses and apps.
- Select the correct location if Microsoft asks for it.
- Assign a valid Microsoft 365 license to the shared mailbox.
- Click Save changes.
Step 2: Set a password for the shared mailbox
- While still in the shared mailbox user details, click Reset password.
- Create a password for the mailbox.
- Save or confirm the new password.
You will need this email address and password during the Trengo connection flow.
Step 3: Connect the mailbox in Trengo
- In Trengo, go to Settings.
- Open Channels > Email.
- Click the plus button to add a new email channel.
- Choose Connect Email.
- In the authentication screen, choose Continue with Microsoft.
- Sign in with the shared mailbox email address and the password you created.
- Complete the Microsoft sign-in flow.
Step 4: Create the email channel in Trengo
After authentication, Trengo will ask you to configure the channel.
Fill in the following:
Kanaalnaam
This is the internal name shown inside Trengo. Customers do not see this.

Channel type
For a shared mailbox, choose For a team.
Select team
Choose the team that should handle incoming emails from this mailbox.
Naam afzender e-mail
Set the sender name your customers should see when your team replies.
Bulk import
You can enable bulk import if you want Trengo to import recent messages from the mailbox.
Then click Create channel.
Step 5: Finish setup
Once the channel is created, Trengo will confirm that the channel has been added and that messages are being imported.
At that point, the shared Outlook mailbox is connected and ready to use in Trengo.
Important note about MFA
Enabling multi-factor authentication (MFA) on the Outlook account does not affect the Outlook integration in Trengo.
